Hotel is a service organization that provides accommodation service, meals , and relax to the guests.

According to the World Tourism Organization (UNWTO),"tourist accommodation is used to denote the facilities operated for short-term accommodation of guests against payment and according to fixed rates." The services provided by the hotel has fix rates. The prices depend upon their class of service and standard of service.

Basis of charging room rates
According to different countries hotel room charges are on different:

  • 12 noon basis:Under this system hotel room is charged on 12 noon as a check-out time. Late check-in or early check-out is ignored.
  • 24 hours basis:Under this system room occupancy time starts from the time of check-in.
  • Night basis:This system is used in local hotel where travelers stay for night only.
  • Hour basis:In this system room rate is calculate done hour basis. They do not count night.

It consists of two types:

  • Published Rate:
    It is also known as Printed Rates and Rack Rate. The published rates are printed in its brochure and made public to everyone. It does not impose any terms and conditions.

  • Special Rates:
    The agreed rate between the travel agency and hotel is known as special rates. They are confidential. In this rate hotel impose different terms and conditions. The special rate depends upon the sales volume, goodwill, and relation.

Points to be considered while referring hotel rates
A travel agent is a middleman who makes agreements with hotels and sells hotel services to the travelers under his name and receives commission. It sells single product combining two or more than two components of hotel services. It is very important job of travel agent to understand the terms an terminologies used in the agreement and the basis of costing. The points to be considered while referring hotel rates are described below:

  1. Validity of rate:
    The hotel rates have validity. The travel agent must be conscious about the validity of the rate. So, the validity of rate should be checked before referring. The special rate may have some term and conditions such as nationality, season which should be checked and the guest must fulfill the terms.

  2. Hotel plan:
    Hotel plan is a choice of a customer to have meals in the hotel. The plan to have a choice of meals in the hotel is known as hotel plan. The different combinations are internationally known by different names, they are a follows:


E.P :European Plan:In this plan, a tourist will enjoy the accommodation only in the hotel. The cost of meals is not included.
BB : Bed and Breakfast:This plan includes accommodation and breakfast only and other meals are not included. This plan is also known as CP: Continental Plan. In this plan accommodation and breakfast is included . This plan will provide continental breakfast.
MAP:Modified American Plan:This plan includes accommodation, breakfast, and either lunch or dinner. It includes only two meals. The guest has a choice to have only one - lunch or dinner.
AP : American Plan:This plan includes accommodation and three meals in the hotel, breakfast, lunch, and dinner. Sometimes this plan is also known as Full Board.

A travel agent receives room rate and sales on hotel plan that is the packaging of meals with accommodation.

  2. Hotels are selling different types of rooms by different names such as deluxe, standard, and budget, suites, old wing, or new wing etc. A travel agent should be conscious of the rate of each type of room. The room are of following types:

    Single Room - On person is to occupy a room
    Double Room- Two persons is to occupy a room. It may be twin bedded room or double bedded room.
    Triple Room - A room made of three beds supposed to be occupied by three people.
    Dormitory - A hall type of room with many beds. It is barrack or hostel type of beds and accommodation.
    Suites - A set of rooms designed for special purpose for businessman or family use. Duplex are set in two floors, President Suits are the better facility than normal. The highest level of the facility is known as Royal Suites.

  3. Hotels provides different size of beds. Hotels provided an extra bed in the single or double room and charge extra price.

  4. Be confirmed about the services included and what extra are. Some hotel rates include airport transfer, sightseeing tours, welcome drinks, etc.

  5. Net is the price payable to the hotel it does not include commission and profit margin for the travel agency. So, hotel rate should be checked whether it is net or commissionable.

  6. A travel agent should be familiar with the present tax system. If the rate does not include Tourism Tax and VAT. Tax and VAT should be added before determining sales price. A travel agent cannot get profit on the tax but commission is taxable.

  7. Determine the term of payment and credit facilities.

  8. Cancellation policy:A travel agent should be aware of the cancellation policy. Some hotels especially resorts and jungle lodges use different terminologies such as:

    Cost per person: In this rate, each individual is to pay the amount mentioned.
    Cost per Person on Double share basis:The cost or the rate is per person based on the assumption that two persons will share the double room.

Travel agency as a middle sales different tour, trek, raft and services. In Nepal, trekking and rafting are the most popular travel agencies. Travel agency does a special agreement with trekking rafting agencies prepares total travel package, adds a profit margin and sales in the travel market.

While referring to trekking and rafting rates, a travel agent should pay attention to the following points:

  • Trekking and rafting rates are always based on per person per day basis.
  • The trekking and rafting rates are based on one person, so may differ as per number of participants,
  • The porter service, hiring equipment, etc. are always counted on per ay basis.
  • The agreed rate is NET or commissionable.
  • Trekking and rafting rates include insurance of porter-guide and other local staffs.
  • The trekking and rafting rate does not include insurance, medical expenses and emergency evacuation of the clients.
  • The rate may differ as per season, region types of trek and raft and nationality, number of participants. so, valid date should be checked.
